Everything You Need to Know About Plan Management

Jul.23.2026 NDIS News

The National Disability Insurance Scheme (NDIS) provides essential funding and support for people with disability. However, understanding and managing your NDIS plan can be complex. The way you manage your funding significantly impacts how you access services, track your budget, and ensure your funding lasts for the entire duration of your plan.

The NDIS offers three ways to manage your funding: self-management, agency (NDIA) management, and plan management.

Plan management may be a good option if you want help with paying invoices and budget tracking, while keeping choice and control over decisions, and the ability to choose between both registered and unregistered providers.

This guide will fully explore what NDIS plan management is, how it works, the benefits it provides, and why it could be the best option for you.

What is Plan Management in the NDIS?

Plan management is an NDIS-funded financial service that helps participants manage their funding and payments. Rather than handling invoices and financial tracking yourself, a registered NDIS plan manager takes care of these responsibilities on your behalf. This can reduce the day-to-day admin involved in managing your NDIS funding, while still giving you flexibility and choice.

The funding for plan management is separate from your other NDIS supports and can only be used to pay for plan management. This means it does not come out of the budget you use for your other disability-related supports and does not impact the funding you receive for other categories.

If you want to have plan management included in your NDIS plan, you can request it at your NDIS plan meeting or plan reassessment.

How to Access Plan Management

How to Access Plan Management

You can ask for plan management to be included in your NDIS plan during a planning meeting, plan reassessment or when speaking with your NDIA planner, LAC or my NDIS contact.

To access plan management, you simply need to:

  1. Request plan management during your NDIS plan planning meeting, plan reassessment or when speaking with your NDIA planner, LAC or my NDIS contact.
  2. Select a registered plan manager (such as MyIntegra).
  3. If your plan is on PACE, you will need to endorse your chosen plan manager with the NDIA or through your LAC/Planner.

Plan Management vs. Other NDIS Funding Options

The NDIS provides three main ways to manage your plan, each with different levels of control, flexibility, and administrative responsibility.

Which Funding Option is Best?

If you want complete financial control and are comfortable managing invoices, self-management might be best. If you want minimal responsibility and only use registered providers, agency management works well. If you want both flexibility and expert financial support, plan management is the best choice.

Funding Option Key Features Pros Cons
Self-Management Participants handle their own budgets, payments, and invoices. Full control over funding, ability to negotiate provider rates. High administrative burden, risk of financial mismanagement.
Agency-Managed The NDIA handles payments, but participants can only use NDIS-registered providers. No need to manage provider payments directly; the NDIA pays providers for supports that meet NDIS requirements. Limited choice, only registered providers can be used.
Plan-Managed A plan manager oversees payments and budget tracking while participants can generally choose from both NDIS-registered and unregistered providers, in line with NDIS rules. More choice and flexibility, reduced administrative work. Requires selecting a plan manager with strong service standards.

Which Funding Option is Best?

There is no one-size-fits-all answer. The right option depends on how much control, flexibility and support you want with managing your NDIS funding.

Self-management may suit you if you feel confident managing invoices, claims and records yourself. NDIA-management may suit you if you want less payment admin and mainly use registered providers.

If you want help with invoices, budget tracking and expert support, while keeping more flexibility in provider choices, plan management would be the best choice.

How Plan Management Works (Step-by-Step Guide)

How Plan Management Works (Step-by-Step Guide)

A Plan manager is responsible for handling the financial administration aspects involved in managing an NDIS plan, including ensuring that invoices are paid on time, budgets are tracked effectively, and participants remain in control over their supports. Understanding how the process works can help you make the most of your funding and avoid common pitfalls. Below is a step-by-step guide to how plan management functions from start to finish.

Step 1: Choosing a Plan Manager

The first step to get started with plan management is selecting a registered NDIS plan manager. Your plan manager will act as an intermediary between you, your service providers, and the NDIS, ensuring that all financial aspects of your plan are handled efficiently. When it comes to researching plan managers, it’s beneficial to look for providers with a strong reputation for high customer satisfaction, efficient invoice processing, transparency, and financial expertise.

Some plan managers, like MyIntegra, offer additional benefits such as real-time budget tracking, dedicated customer support, extended operating hours, and access to an online portal for monitoring spending. When choosing a plan manager, it’s a good idea to ask about them about their processing times, financial reporting they offer, and whether they keep important information and documentation within Australia.

Step 2: Setting Up Your Plan

Once you have selected a plan manager, they will begin setting up financial processes on your behalf. If your plan is on PACE, you will need to endorse your chosen plan manager with the NDIA or through your LAC/Planner. Your plan manager will ask for a copy of your NDIS plan to understand how your funding is structured. They will review your budget and determine the allocations for different support categories to ensure your funding is used correctly.

Your plan manager will set you up in their payment system and start handling invoices from your service providers. They will liaise with your providers to ensure all invoices meet NDIS requirements, which helps prevent payment delays for future payments as well as helping to limit compliance risks from incorrect claims. Additionally, some plan managers provide financial planning assistance, helping you create a spending plan that ensures your funding lasts for the full duration of your plan.

Step 3: Using Your NDIS Supports

With plan management in place, you have the freedom to choose from both NDIS-registered and non-registered providers. This flexibility allows you to work with the service providers that best meet your needs, rather than being restricted to only those registered with the NDIS. However, there are certain supports that must be delivered by a registered provider, even if your NDIS funding is self or plan managed, these include Specialist Disability Accommodation (SDA), Specialist Behaviour Support and Supported Independent Living (SIL).

Once you start using services, your providers will send their invoices directly to your plan manager for processing. This eliminates the need for you to manually track and pay invoices, reducing your administrative burden and allowing you to focus on achieving your goals. If you would like some control over your funding payments, MyIntegra offer the option for participants to review and approve invoices before they are paid. If you have any concerns about whether a provider’s services are covered under your plan, your plan manager can offer guidance to ensure compliance with NDIS guidelines.

Step 4: Invoice Processing & Payments

One of the key responsibilities of your plan manager is ensuring that service provider invoices are correctly formatted and align with the NDIS Pricing Schedule. Before an invoice is approved, your plan manager will verify the details to ensure accuracy, check that the services provided are in line with your plan, and confirm that the charges comply with the NDIS pricing structure.

This step is essential for preventing errors, overcharging, or non-compliant spending. If an invoice is missing critical details or does not align with NDIS funding categories, your plan manager will follow up with the provider to correct the issue before making payment. Once the invoice is verified, the plan manager processes the payment to the provider on your behalf.

Step 5: Budget Tracking & Reporting

Tracking your NDIS budget is crucial to ensuring that your funding lasts for the full duration of your plan. Your plan manager will provide regular financial reports that break down your spending across different support categories, giving you a clear picture of how your funds are being used. You can also use our online budget calculator to help you calculate your spending.

Plan managers also send alerts if you are at risk of overspending, allowing you to adjust your services or seek advice before running out of funds. Regular financial oversight ensures that you are maximising your NDIS plan while maintaining financial stability.

Select plan managers, like MyIntegra, offer additional benefits such as the ability for you to reserve funds from your plan for a specific service provider, this gives you the confidence that you will have enough funding for your necessary supports throughout the duration of your plan.

Step 6: Accessing Your Budget Online

Many plan managers, including MyIntegra, offer digital tools that allow participants to monitor their spending in real time. Through these platforms, you can check your available funding, view invoices that have been processed, and receive notifications about your spending trends.

Having real time access to your financial data can help you make informed decisions about your support services. It also allows you to plan ahead for future expenses, ensuring that you do not run out of funding unexpectedly. If you have any concerns about your spending or need to make adjustments to your service agreements, your plan manager can provide expert guidance.

By following these steps, participants can ensure a smooth and stress-free experience with plan management, making it easier to focus on their goals while maintaining full control over their NDIS funding.

Key Benefits of NDIS Plan Management

Plan management simplifies the financial side of the NDIS, giving participants greater choice and control over their funding.

Plan management simplifies the financial side of the NDIS, giving participants greater choice and control over their funding. One of its biggest advantages is the ability to use both NDIS-registered and non-registered providers for most services (select supports must be provided by a registered NDIS provider) giving participants access to a wider range of services, including independent therapists and community support organisations. This flexibility ensures participants can select providers that best meet their needs.

Managing NDIS funds independently can be complex and time-consuming. Plan managers handle invoice processing, budget tracking, and financial reporting, reducing administrative burdens for participants and their families. They also provide expert financial oversight, ensuring funds are spent correctly and in line with NDIS rules. By offering budget reports and advice on NDIS funding requirements, plan managers help participants make informed decisions about their funding.

Another key role of a plan manager is ensuring invoices are processed accurately and on time. This prevents payment delays, reduces the risk of service disruptions, and helps maintain strong relationships with providers. Many plan managers also offer digital tools for real-time budget monitoring, giving participants access to their funding details anytime, allowing for better financial planning.

With benefits such as greater provider choice, reduced financial administration, expert oversight, timely payments, and real-time budget tracking, plan management helps participants get the most out of their NDIS funding while reducing stress and complexity.

Challenges of Plan Management & How to Overcome Them

While plan management is highly beneficial, it’s important to be aware of potential challenges and how to address them. Choosing a reliable and efficient plan manager can make a significant difference in the overall experience of managing NDIS funding. Below are some of the most common challenges participants may encounter, along with strategies to effectively manage and overcome them.

1. Delays in Invoice Processing

One of the most common challenges in plan management is the time it takes to process invoices and pay service providers. Timely invoice processing is crucial for ensuring that participants receive uninterrupted services, but delays can happen for several reasons. Some providers submit invoices with missing details, such as participant names, NDIS numbers, or incorrect service dates, which can slow down payments.

Verification and compliance checks are another factor. Plan managers must ensure that invoices comply with NDIS pricing rules before making payments. If discrepancies are found, the invoices may require further verification, which can extend processing times. When payments are delayed, participants may face disruptions in essential services, impacting their overall NDIS experience.

How to Overcome This Challenge

Choosing a plan manager with a strong reputation for efficiency can help minimise delays. Before selecting a provider, research their track record for invoice processing times. Many reputable plan managers, such as MyIntegra, ensure that payments are processed promptly—usually within a few business days—helping to avoid service disruptions.

Participants can also take proactive steps by ensuring their service providers submit correctly formatted invoices that include all required details, such as ABN, service descriptions, and accurate NDIS funding categories. Working closely with providers to follow best invoicing practices can help reduce errors and speed up processing times.

Another way to prevent delays is to work with a plan manager that use technology to help them process invoices faster. Some plan managers have digital tools that verify and approve invoices more efficiently, reducing manual workload and preventing backlogs. Maintaining open communication with your plan manager is also important. If there are delays, participants should request regular updates and work with their plan manager to resolve any outstanding issues.

For participants relying on time-sensitive services, having a backup plan is essential. If delays occur, it’s a good idea to discuss alternative payment arrangements with service providers. Some providers may be willing to continue services while waiting for payment, ensuring there is no disruption in support. By taking these steps, participants can reduce the risk of invoice processing delays and ensure that their funding is managed smoothly.

2. Staying on Top of Your Budget

Keeping track of NDIS funding can be challenging, especially for participants using multiple service providers. Without clear financial oversight, there is a risk of overspending or underspending funds.

Common Reasons Participants Lose Track of Their Budget

Managing an NDIS budget effectively can be challenging, especially for participants who use multiple service providers. Those accessing different types of therapy, home support, and assistive technologies may struggle to keep track of each provider’s invoices and overall spending. Without a clear overview of how much has been spent and how much remains, it is easy to exceed the budget in one area while underutilising funds in another.

Another common issue is the lack of real-time visibility into spending. Some plan managers do not provide participants with up-to-date budget tracking, making it difficult to monitor remaining funds. Without access to an online portal or regular spending reports, participants may not realise they are running low on funding until it is too late. Unclear funding allocations can also cause confusion, as participants may not fully understand how their budget is divided across different support categories. This can result in shortages in essential areas, requiring unexpected adjustments to service arrangements.

Unexpected changes in service needs, such as increased therapy sessions due to medical changes or the need for additional support, can also impact budget projections. If these changes are not closely monitored, participants may find themselves running out of funding earlier than expected. Additionally, some plan managers provide financial updates infrequently, leaving participants unaware of their actual spending levels. Without consistent oversight, they may unknowingly approach the end of their plan with insufficient funds to cover ongoing services.

How to Overcome This Challenge

Using an NDIS plan manager that offers real-time budget tracking can make a significant difference. Some providers, like MyIntegra, offer online portals where participants can check their spending at any time, view processed invoices, and receive automated budget alerts. This immediate access to financial information allows for better planning and ensures that funding is being used efficiently.

Setting up a detailed financial plan with your plan manager before starting services is another key strategy. By working together to allocate funds to different service categories, participants can ensure that their funding lasts throughout their plan period. Monthly spending reports, help participants stay informed about how their funds are being used.

Many plan managers also offer automated budget alerts, which notify participants when they are approaching their funding limits. These alerts provide an early warning system, allowing adjustments to be made before running out of funds. For those who need additional support in managing their budget, an NDIS support coordinator can help by overseeing service agreements and ensuring that funding priorities align with the participant’s needs.

Some plan managers allow participants to customise how their invoices are approved. Regular, trusted providers may be set to auto approve invoices, while newer providers could require a participants approval, it’s all up to the participant. A participant may also choose to review invoices that are more than a certain dollar amount. By implementing these strategies, participants can gain better control over their budget and ensure their funding is managed effectively throughout their plan period.

3. Choosing the Right Plan Manager

Not all plan managers offer the same level of service, which can directly impact how smoothly a participant’s funding is handled. A poor plan manager may lead to slow invoice processing, lack of communication, or poor financial oversight, which can create unnecessary stress.

What to Look for in a Plan Manager

Choosing the right plan manager is essential for ensuring your NDIS funding is handled efficiently. A good plan manager should have fast and reliable invoice processing, with payments typically processed within three to five business days to prevent service disruptions. Transparency is also important, so look for a provider that offers real-time budget tracking through an online portal where you can monitor your spending, access invoices, and check your funding balance at any time.

Strong communication and customer support are key factors in selecting a plan manager. A dedicated support team should be available to assist you with financial queries and resolve any concerns promptly. Additionally, clear budget reporting tools can help you stay informed about your spending, providing regular reports and alerts if you’re at risk of overspending.

A knowledgeable plan manager should also have a strong understanding of NDIS compliance and ensure that invoices align with the NDIS Pricing Schedule. This expertise helps prevent errors and ensures your funding is used correctly.

How to Overcome This Challenge

To find a reliable plan manager, start by researching and comparing different providers. Look at reviews, testimonials, and processing times, and seek recommendations from other NDIS participants or support coordinators. Make sure the provider offers online accessibility features, such as a user-friendly portal for tracking your budget and viewing invoices.

Before signing up, ask about invoice processing times to understand how quickly payments are made. It’s also important to assess their customer service responsiveness—reach out to their support team and see how quickly they reply to queries.

Ensure the plan manager is registered with the NDIS Quality and Safeguards Commission and is well-versed in compliance requirements. Lastly, we recommend asking the plan manager whether they process invoices and keep information and documentation within Australia.

By being aware of these common challenges and taking proactive steps to manage them, participants can have a smoother and more efficient experience with NDIS plan management. Selecting a reliable and efficient plan manager ensures that participants receive timely payments, have clear budget oversight, and get the most out of their NDIS funding.

How to Get Started with Plan Management

Getting started with NDIS plan management and understanding the right steps of NDIS plan

Getting started with NDIS plan management is a straightforward process, but understanding the right steps can help you transition smoothly and avoid unnecessary delays. Here’s what you can do:

1. Request Plan Management in Your NDIS Meeting

During your NDIS planning meeting or plan review, inform your NDIS planner or Local Area Coordinator (LAC) that you would like your plan to be plan-managed. Since plan management is fully funded by the NDIS, independently of the rest of your plan, it will not reduce the budget available for your other supports. If you are currently self-managing or agency-managed, you can request to switch to plan management at your next review.

If your current plan does not include plan management and you want to change before your next review, you can request a plan variation by contacting the NDIA.

2. Choose a Registered Plan Manager

Once your plan includes plan management, you will need to select a registered plan manager. Your plan manager will be responsible for handling invoice processing, financial reporting, and budget tracking. Choosing the right plan manager is important, as they will play a key role in helping you manage your funding efficiently.

When selecting a plan management provider, consider the following:

  •     Invoice processing times to ensure providers are paid promptly
  •     How and where they store their information and data.
  •     Real-time budget tracking tools to help you monitor your spending
  •     Availability of financial guidance to help you make the most of your funding

Before signing up, ask potential plan managers about their processing times, customer support options, and any digital tools they offer to help with budget tracking.

3. Provide Access to Your NDIS Plan

After selecting a plan manager, you will need to give them access to your NDIS plan and funding details. This allows them to:

  •     Track your budget allocations across different support categories
  •     Process invoices and payments on your behalf
  •     Provide regular financial reports and spending alerts

Your plan manager will work with you to set up financial processes, ensure invoices comply with NDIS guidelines, and assist you in maintaining better control over your budget.

4. Start Using Your Plan Management Services

Once everything is set up, you can begin using your NDIS funding without the burden of managing invoices and payments yourself. Your service providers will send their invoices directly to your plan manager, who will process and pay them on your behalf. This allows you to focus on achieving your goals rather than handling financial administration.

Some plan managers provide an online portal where you can track your budget, view processed invoices, and receive updates on your spending. This can help you stay informed and make better financial decisions throughout your plan period.
